Onboarding Email 1: Employment Opportunity

Email 1 of 5 in the 90-Day Onboarding System. Send it within 2 to 3 days of the interview, after checking references and prior employment history. It extends the conditional offer in writing and schedules the next conversation. It is the first written word they'll get from you.

BEFORE YOU SEND

  • Keep the email warm and welcoming. Hold the paperwork detail for now. This email extends the conditional offer and schedules the next conversation (Meeting 1, the paperwork meeting).
  • Conditional offers: this email extends the offer in writing as conditional on background checks, clearances, and paperwork completion. The system carries that framing through. Paperwork begins at Meeting 1, and Email 4 confirms the offer as official once everything is in and cleared. Keep the framing intentional. It gives both the new hire and your center a clean path if a required clearance doesn't come through.
  • At-will employment: if your state recognizes at-will employment, consider adding the appropriate at-will language, reviewed by your attorney or HR advisor first. Don't assume the same language works in every jurisdiction. Montana, for example, treats employment differently after a probationary period.
  • After you send: print the New Hire Onboarding Cover Page and add every detail you have. Add the confirmed meeting date and time to your calendar as soon as the applicant replies. If the applicant hasn't responded within 1 to 2 business days, follow up by phone. Some applicants are not responsive to email, especially if this is their first employment opportunity.

Here's the email with the blanks filled in, for the sample center Beachside Preschool.

Dear Brooke,

Thank you for taking the time to interview with us. It was wonderful getting to know you and hearing more about your experience working with children.

We're excited to offer you a conditional position with Beachside Preschool. Congratulations! Like all licensed childcare programs, our offer is contingent on successful completion of the required background checks, health clearances, and onboarding paperwork that we'll walk through together. Once those requirements have been completed, your offer becomes official, and we'll officially welcome you to the team.

If you're interested in moving forward, I'd like to schedule a follow-up conversation to walk you through the next steps. Are you available on Thursday, July 16, 2026 at 3:30 PM? We will meet in person at the center. We'll go through the role in more detail, including schedule and job offer, walk through the onboarding process, and answer any questions you have.

Please confirm whether Thursday, July 16, 2026 at 3:30 PM works for you, or suggest another time.

Looking forward to hearing from you.

Warmly,

Tara Close

What Not To Say

Why this email works

  1. It's the first written contact after you've decided to pursue them, and it sets whether they feel like a candidate who got chosen or a transaction being processed.
  2. It extends the conditional offer in writing, contingent on completing background checks, clearances, and paperwork, so the framing is clean from the first message.
  3. It gives them a clear path to accept: one proposed meeting time and a simple ask to confirm it or suggest another.
  4. The tone is warm, and the paperwork detail is held for the meeting, so the offer lands as good news.
