Parent Interest Email: When There's an Opening

Parent
Welcome & Enrollment
Warm

This is the email you send when a family calls, emails, or fills out your website form to ask about enrolling, and you have a spot for their child. It's short on purpose. It covers what every parent looks for in a center, points them to your website for the details, and makes it easy to book a tour, which is where they'll see the rest.

BEFORE YOU SEND

  • Attach your current tuition and schedule sheet. The email tells the parent it's attached, so sending without it is the first thing they'll notice. If the room has a requirement, like potty training for preschool, mention it kindly so no one tours for a spot their child can't take yet.
  • Reply the same day if you can. Families often reach out to several centers at once, and a warm, specific reply that arrives first is the one they remember.
  • Make the three sections true for your center: your year, your licensing agency, your ratio, and how you train your staff. If your center is new, change the "Since [Year]" line. If you're accredited (for example, by NAEYC) or have earned awards, add them right after the licensing line. Keep each section short. The daily schedule and curriculum belong on your website and on the tour.
  • Match the Reserve Your Spot line to how your center actually holds spots. If families need a deposit or a registration form, say so there.
  • Offer two or three tour times so the parent can choose what works. Then do everything you can to keep that appointment. A tour that gets canceled or moved is the first broken promise, and it can turn a family away before they ever visit.

Here's the email with the blanks filled in. Each section stays short, and the website and the tour carry the details.

Dear Priya,

Thank you for calling about enrolling Theo. Choosing a childcare program is one of the most important decisions a parent makes, and we're thrilled you're considering Maple Grove Early Learning.

We have an opening in our Sunflower Room for children 18 months to 3 years starting January 5. Below, I've included a few tour times and our current tuition, so you'll have everything you need to take the next step.

Here's a little about what makes us different:

The Program: Since 2009, Maple Grove Early Learning has been providing quality childcare to families in Maple Grove. Our mission is to give parents true peace of mind while their child is in our care, knowing their child is in a safe, clean, enthusiastic, and loving environment led by competent, trustworthy people. We're licensed by the California Department of Social Services.

Balancing Safety and Fun: There's nothing more important to you than your child, and that makes your child important to us. We want every child to feel safe, cared for, and comfortable being themselves. Our teachers build warm relationships with each child and plan age-appropriate activities that encourage play, friendships, and learning. The Sunflower Room has one teacher for every 4 children.

The Staff: Not only do we take special pride in our program, we also take special care in the people we hire! Every team member goes through a thorough background check and training in positive reinforcement, appropriate guidance, and effective supervision.

You can learn more about our program by visiting maplegroveearlylearning.com.

Schedule a Tour: The best way to get a feel for us is to visit. Tours take about 30 minutes, you'll meet the teachers and see the room in action, and Theo is welcome to come along. Here are a few times that work this week:

  • Tuesday at 9:30 a.m.
  • Wednesday at 3:00 p.m.
  • Friday at 10:00 a.m.

If none of those fit, let me know what does.

Reserve Your Spot: If you'd like to move forward, let me know and I'll walk you through how to reserve Theo's spot. Spots aren't held until they're reserved, so it's worth reaching out soon. I've attached our current tuition and schedule so you have everything in one place, and I'm happy to walk through any of it when you visit.

We can't wait to meet you and Theo. You can reply to this email or call me directly at the number below.

Warm regards,

Jessica Alvarez

What Not To Say

Why this email works

  1. "Choosing a childcare program is one of the most important decisions a parent makes" honors the weight of what the parent is doing before the email asks for anything.
  2. It answers the parent's real question right away: there's a spot for their child, and here's when it starts.
  3. The three short sections answer what every parent looks for first: a program they can trust, a child who is safe and happy, and great people. The details wait for the website and the tour.
  4. It ends with two clear next steps, a tour and a reserved spot, plus the tuition sheet, which removes the two things that make families stall: not knowing what happens next and not knowing the cost.
