Parent Interest Email: When the Room Is Full

Parent
Welcome & Enrollment
Warm

This is the email you send when a family asks about enrolling and the room their child needs is full. It covers what every parent looks for, is honest about the wait, explains how your waitlist works, and still invites them to visit, so they're ready the day a spot opens. A family who hears "not yet" warmly often waits for you.

BEFORE YOU SEND

  • Attach your current tuition and schedule sheet, plus any waitlist fee. The email tells the parent it's attached, and families on a waitlist are comparing centers, so the ones who have your numbers can plan around you.
  • Make the three sections true for your center: your year, your licensing agency, your ratio, and how you train your staff. If you're accredited or have earned awards, add them right after the licensing line. Keep each section short.
  • Say plainly that the room is full. Don't soften it until it's unclear. A parent who misreads it and finds out at the tour will feel misled.
  • Describe your waitlist exactly as it works at your center: who is offered a spot first, and how families are contacted. Only give a timing estimate if you're confident in it, say it can change, and never suggest a spot is guaranteed.

Example, filled in

Here's the email with the blanks filled in. The waitlist paragraph says exactly how spots are offered, and the timing estimate is clearly an estimate.

Dear Ms. Nguyen,

Thank you for reaching out about enrolling Lily. Choosing a childcare program is one of the most important decisions a parent makes, and we're thrilled you're considering Maple Grove Early Learning.

I want to be upfront with you: our Oak Room for 3- and 4-year-olds is full right now for September. I'd still love for you to visit, and I'd be glad to add Lily to our waitlist. Below, I've included how our waitlist works, a few tour times, and our current tuition, so you'll have everything you need to take the next step.

Here's a little about what makes us different:

The Program: Since 2009, Maple Grove Early Learning has been providing quality childcare to families in Maple Grove. Our mission is to give parents true peace of mind while their child is in our care, knowing their child is in a safe, clean, enthusiastic, and loving environment led by competent, trustworthy people. We're licensed by the California Department of Social Services.

Balancing Safety and Fun: There's nothing more important to you than your child, and that makes your child important to us. We want every child to feel safe, cared for, and comfortable being themselves. Our teachers build warm relationships with each child and plan age-appropriate activities that encourage play, friendships, and learning. The Oak Room has one teacher for every 8 children.

The Staff: Not only do we take special pride in our program, we also take special care in the people we hire! Every team member goes through a thorough background check and training in positive reinforcement, appropriate guidance, and effective supervision.

You can learn more about our program by visiting maplegroveearlylearning.com.

Here's how our waitlist works: when a spot opens, we offer it to families in the order they joined, and siblings of current families come first. Families are usually waiting two to four months, though that can change.

Schedule a Tour: Touring now means you'll know us before a spot opens, so you can say yes quickly if it's the right fit. Tours take about 30 minutes, and Lily is welcome to come along. Here are a few times that work this week:

  • Monday at 10:00 a.m.
  • Wednesday at 3:30 p.m.
  • Thursday at 9:00 a.m.

Join the Waitlist: If you'd like to join the waitlist, just reply to this email and I'll take care of it. I've attached our current tuition and schedule so you have everything in one place.

If you need care sooner than we can offer, I completely understand. I'd still love to meet you and Lily, and you can reply here or call me directly at the number below.

Warm regards,

Jessica Alvarez

What Not To Say

Why this email works

  1. It tells the family the room is full right away, then shows what makes the center worth the wait.
  2. "I want to be upfront with you" delivers the news plainly, which builds the trust a family needs to wait for you.
  3. Explaining exactly how the waitlist works answers the next question before they ask it, and keeps the estimate honest.
  4. "If you need care sooner than we can offer, I completely understand" releases the pressure, which makes it easier for the family to choose you later.
