Tour Follow-Up Email

Parent
Welcome & Enrollment
Warm

This is the email you send after a family tours your center. It thanks them, brings back a real moment from the visit, answers anything left open, and makes the next step easy. Families often tour two or three centers in a week, and the one that follows up warmly and specifically is the one they remember.

BEFORE YOU SEND

  • Send it the same day as the tour, while the visit is fresh for both of you.
  • If the child didn't come on the tour, delete the bracket after "It was wonderful to meet you." Replace the bracketed moment with something that really happened on the tour. If nothing stands out, cut that sentence rather than invent one. A made-up moment is easy to spot.
  • If you promised to look into something, answer it here. If not, delete that line.
  • Match the Reserve Your Spot section to how your center actually enrolls: forms, fees, deposits or an online registration link. If you mention an attachment, attach it before you send.

Example, filled in

Here's the email with the blanks filled in. The moment from the tour is specific, and the open question gets a real answer.

Dear Priya,

Thank you for visiting Maple Grove Early Learning today. It was wonderful to meet you and Theo. I hope you enjoyed touring our center and seeing the Sunflower Room in action. I loved watching Theo head straight for the block corner and make a friend before we'd even finished talking.

You asked about our nap schedule. The Sunflower Room rests from 12:30 to 2:30, and we'll send you a short note any day Theo doesn't sleep well.

Reserve Your Spot: We'd love to have Theo join us in the Sunflower Room starting January 5. To reserve the spot, just fill out the attached registration form and return it with the $100 registration fee. Spots aren't held until they're reserved, so please let me know as soon as you're ready, and I'll take care of the rest.

If you'd like a little more time to decide, that's completely fine. I'm happy to answer any other questions. Feel free to reply to this email or call me directly at the number below.

Thank you again for spending time with us today.

Warm regards,

Jessica Alvarez

What Not To Say

Why this email works

  1. A real moment from the tour shows the family they were seen, not processed, and it's the detail they'll remember when they compare centers.
  2. Answering the open question right away shows how you'll follow through once their child is enrolled.
  3. The Reserve Your Spot section tells them exactly what to do next and that the spot isn't held, without pushing.
  4. "If you'd like a little more time to decide, that's completely fine" takes the pressure off, which makes it easier to say yes.
