Tour Reminder Email

Parent
Welcome & Enrollment
Warm

This is the short note you send the day before a tour. It reminds the family when and where, makes it easy to reschedule, and tells them you're looking forward to it. Most missed tours aren't rude. Families just forget.

BEFORE YOU SEND

  • Send it as a reply to your Tour Confirmation Email, so the parking and check-in details are right below it in the thread. Use the subject below only if you're starting a new email.
  • Send it the morning of the day before the tour. That gives the family plenty of time to let you know if their plans change. For a Monday tour, send it on Friday and change "tomorrow" to "on Monday".
  • Copy the check-in and security details from your confirmation email so the two match. If a parent gets two different instructions, they'll trust neither.

Example, filled in

Here's the email with the blanks filled in. It's short enough to read in a few seconds on a phone.

Dear Priya,

Just a friendly reminder that your tour of Maple Grove Early Learning is tomorrow, Tuesday, December 9, at 9:30 a.m. We're looking forward to meeting you. You're welcome to bring Theo if you like, or come alone.

A quick recap:

  • Where: 1420 Maple Grove Road
  • When you arrive: Please check in at the front desk. Please bring a photo ID.
  • You'll meet: Jessica Alvarez, our Center Director

If something has come up, no problem at all. Just reply to this email or call me at the number below, and we'll find a new time.

See you tomorrow,

Jessica Alvarez

What Not To Say

Why this email works

  1. Most missed tours are forgotten, not canceled, and a reminder the day before is the simplest fix.
  2. "If something has come up, no problem at all" gives the parent permission to reschedule instead of quietly not showing up.
  3. The short recap means the parent doesn't have to dig for the address or the check-in steps on the day.
  4. "See you tomorrow" ends on the visit itself, which makes it feel like a plan the two of you share.
